1Who this policy covers
This policy applies to:
- Visitors to kliniq.tech and any KlinIQ landing page, form or booking link
- People who contact us, request a demo or book a call
- People who work at businesses that hire us, including owners, points of contact and closers
- People who receive marketing from KlinIQ about KlinIQ’s own services
- Applicants and contractors who send us their information
2Client data and our role
Two different things happen at KlinIQ, and different rules apply to each.
Information about you and your business that we collect for our own purposes. We decide how that information is used, and this policy governs it.
Information we handle on behalf of a client. When a clinic hires us, the leads, patients and contacts inside that clinic’s systems belong to the clinic. The clinic decides how that information is used and is responsible for the consents behind it. We act on the clinic’s instructions under our Master Service Agreement, and this policy does not replace the clinic’s own privacy notice. Where protected health information is involved, a signed Business Associate Agreement governs our obligations, and those services do not begin until it is signed.
Under privacy laws that use these terms, KlinIQ is the controller or business for the first category and a processor or service provider for the second.
3What we collect
The categories below are the ones we collect about business contacts and site visitors. Not every category applies to every person.
| Category | Examples | Why we collect it |
|---|---|---|
| Identifiers | Name, business name, job title, email address, phone number, mailing address, IP address, account identifiers | Answering inquiries, scheduling calls, providing the services, billing, security |
| Business and commercial information | Services you offer, locations, pricing, offers, staffing and capacity, the plan you bought, billing history, records of our correspondence | Scoping and running the services, invoicing, support, record keeping |
| Tax and registration information | Legal business name, employer identification number, state of formation, the details required to register your business name and phone numbers for branded calling and business text messaging | Tax forms, carrier and platform registration (A2P/10DLC and branded caller ID) |
| Payment information | Billing contact, billing address, the last four digits and expiration of a card, payment history. Full card numbers and security codes go to our payment processor, not to us | Charging agreed fees and keeping financial records |
| Internet and device activity | IP address, browser and device type, operating system, pages viewed, referring site, links clicked, session activity, general location inferred from IP | Running and improving the site, measurement, advertising, security |
| Audio and written communications | Recordings and transcripts of sales and client calls, emails, text messages, chat messages, meeting notes | Delivering the services, training our team, keeping an accurate record of what was agreed |
| Marketing data | Which emails you opened, what you clicked, which ads you saw, your subscription status | Sending relevant marketing and measuring it |
| Inferences | Conclusions about what services may suit your business | Tailoring our proposals and marketing |
We do not ask for and do not want sensitive personal information about site visitors and business contacts, such as government identification numbers, financial account credentials, precise geolocation, or health information. Health information appears only inside a client engagement, under a Business Associate Agreement.
4Where the information comes from
- From you, through forms, email, text, chat, calls and onboarding
- Automatically, through cookies, pixels and server logs when you use the site
- From our clients, where they give us contact details for their team
- From service providers, including advertising, analytics, scheduling, calling and messaging platforms
- From public and commercial sources, such as business directories, public listings and lead providers
5What we do not want you to send us
KlinIQ’s systems are a marketing, communication and automation layer. They are not your medical record or system of record, and you remain responsible for keeping your own original records under the retention laws that apply to you.
6How we use information
- To respond to inquiries, send proposals and schedule calls
- To provide, run, support and improve our services
- To set up and operate your campaigns, booking flows, call and message sequences
- To register your business, name and numbers for branded calling and business messaging
- To bill you, collect payment and keep financial and tax records
- To send marketing about KlinIQ’s services and to run and measure advertising, where permitted
- To train our team using recorded calls and to review quality of service
- To keep our systems secure, prevent fraud and investigate misuse
- To create anonymized, aggregated performance data that identifies no individual, which we use for case studies and improving our systems
- To meet legal, tax and regulatory obligations and to establish or defend legal claims
We do not use client campaign data to train publicly available AI models. Where AI tools are part of the services, they are used to deliver the services for that client.
7Who we share information with
| Who | Examples | What they do with it |
|---|---|---|
| Payment processing | Stripe | Stores and processes card details and charges agreed fees |
| Calling and messaging | Twilio and connected carriers | Places calls, sends messages, registers branded caller ID and business messaging |
| Advertising and analytics | Meta, Google | Delivers and measures advertising and website analytics |
| Platforms that run the services | Automation, CRM, scheduling, hosting, email, transcription and storage providers | Runs the systems we build and operate for clients |
| Subcontractors | Developers, designers, media buyers and other contractors we engage | Performs part of the work under the same confidentiality and data obligations |
| Professional advisors | Lawyers, accountants, insurers | Advises us, under professional duties of confidentiality |
| Authorities | Courts, regulators, law enforcement | Receives information where the law requires it or to protect legal rights and safety |
| A buyer | An acquirer or successor | Receives information as part of a merger, acquisition, financing or sale of assets |
Each provider may use the information only to perform the work we engaged them for. We remain responsible for the work our subcontractors do for us.
8Sale of information and targeted advertising
We do not sell personal information for money, and we do not sell or share the personal information of anyone we know to be under 16.
Some state privacy laws define “sale” and “sharing” broadly enough to include the use of advertising cookies and pixels that pass identifiers to advertising platforms. Where our site runs those pixels, that activity may count as sharing for targeted advertising under those laws. You can opt out at any time using the cookie settings link in our website footer, by emailing support@kliniq.tech, or through a browser signal such as Global Privacy Control, which we honor where required.
9Cookies and tracking
| Type | What it does | Can you turn it off? |
|---|---|---|
| Strictly necessary | Loads pages, keeps the site secure, remembers your cookie choices | No. The site does not work without these. |
| Preferences | Remembers settings such as a chosen view | Yes |
| Analytics | Counts visits and shows how people move through the site | Yes |
| Advertising | Measures ad performance and shows KlinIQ ads on other sites | Yes |
Most browsers let you block or delete cookies, though parts of the site may stop working if you block the necessary ones. Because there is no common standard for it, we do not respond to browser Do Not Track signals, but we do honor Global Privacy Control as described above.
10Calls, texts and email
When you give us your phone number or email address, you agree that we may contact you about your inquiry and about our services, including by automated call or text where you have given the consent the law requires. Message frequency varies. Message and data rates may apply. Reply STOP to any text to stop receiving them and HELP for help. Use the unsubscribe link in any marketing email, or email support@kliniq.tech. We may still send you messages about an active account, such as billing or service notices.
We do not share mobile numbers collected for text messaging with third parties for their own marketing, and consent to receive text messages is never sold or shared with anyone except the providers that deliver the messages for us.
If you are a client, you are responsible for the consents required to contact your own patients, leads and customers, including under the Telephone Consumer Protection Act, CAN-SPAM, A2P/10DLC registration and do-not-call rules. That is set out in our Master Service Agreement.
11Call recording
We record and transcribe sales and client calls where the law allows and where everyone on the call has been informed. We use recordings to deliver the services, keep an accurate record of decisions, and train our team. Tell us at the start of a call if you would rather not be recorded, and we will stop.
12Payment information
Card details are entered into our payment processor, currently Stripe, which stores and processes them in line with payment card industry requirements. Kliniq LLC does not store full card numbers and does not retain card security codes once a payment method is authorized.
13How long we keep information
| Information | How long |
|---|---|
| Inquiries that do not become clients | Up to 24 months from your last contact with us |
| Client account and campaign records | For the engagement, then as needed for our records and legal claims |
| Financial, billing and tax records | At least 7 years, as tax and accounting rules require |
| Call recordings and transcripts | Up to 24 months, unless needed longer for a dispute |
| Marketing lists and unsubscribe records | Until you unsubscribe, and afterwards a suppression record so we do not contact you again |
| Website analytics and advertising data | Typically up to 26 months, depending on the provider |
| Client data after an engagement ends | A one-time export is available on written request within 30 days of termination. After that we may delete it in the ordinary course, subject to any signed Business Associate Agreement |
We keep information longer where the law requires it or where we need it to establish or defend a legal claim.
14Security
We keep commercially reasonable administrative, technical and physical safeguards for the information in our possession, including access controls, encryption in transit, limits on who can reach client systems, and vetting of the providers we use. No system is completely secure, and we cannot guarantee absolute security.
If information we hold is exposed, we will notify affected clients without unreasonable delay, and within the time any signed Business Associate Agreement or applicable law requires. Keep your own passwords and account access secure, and tell us immediately at support@kliniq.tech if you think an account has been compromised.
15Your rights
Depending on where you live, you may have some or all of these rights:
- Know what personal information we hold about you, where it came from, why we have it and who we share it with
- Get a copy of it in a portable format
- Correct information that is wrong
- Delete information, subject to what we must keep by law
- Opt out of targeted advertising, of any activity treated as a sale or sharing, and of profiling that produces legal or similarly significant effects
- Limit the use of sensitive personal information, in the rare case we hold any
- Not be treated differently for exercising any of these rights
- Appeal a decision we make about your request
California residents may also ask once a year for a list of the personal information we disclosed to third parties for their own direct marketing in the prior year. Email us and we will respond.
16Making a request
Email support@kliniq.tech with the request you want to make and the email address or phone number you use with us.
- 1We verify who you are, usually by matching details we already hold, and sometimes by asking you to confirm from an email address on file. We ask for no more information than we need.
- 2You may use an authorized agent. We will ask for written permission signed by you and will still verify your identity.
- 3We respond within 45 days. If the request is complex we may take another 45 days and will tell you before we do.
- 4If we decline, we will tell you why. You can appeal by replying to our decision within 30 days, and we will answer the appeal in writing within 45 days. If we deny the appeal, you may contact your state attorney general.
Requests are free unless they are excessive or repetitive, in which case we will tell you before doing anything.
17If you are a patient or customer of one of our clients
Contact that business directly. They control your information and decide how it is used. If you reach us first, we will pass your request to them and help them act on it. To stop text messages from a clinic, reply STOP to the message.
18Children
Our services are for businesses. We do not direct them to anyone under 18 and do not knowingly collect information from children. If you believe a child has given us information, email support@kliniq.tech and we will delete it.
19If you are outside the United States
We operate in the United States, and our providers may store and process information there. Privacy laws in the United States may differ from those where you live. If you contact us from outside the United States, you are sending your information to the United States. Where we handle information covered by European or United Kingdom law, we rely on appropriate safeguards, including standard contractual clauses, and you may contact us to ask about them.
20Other companies’ sites and services
Our site links to other companies’ websites, and our services rely on third-party platforms such as Meta, Google, Stripe, Twilio and booking systems. We do not control them, and their privacy practices are their own. Read their policies before giving them information.
21Accessibility
We want this policy to be usable by everyone. If you need it in another format, or have trouble using any part of our site, email support@kliniq.tech.
22Changes to this policy
We may update this policy. The effective date at the top shows the last change. Where a change is significant, we will give notice on the site or by email. Clients are notified as their agreement requires, and continuing to use the services after notice means the updated policy applies. Earlier versions are available on request.
